1. How to Book
You can book through our website, by email at reservas@flamencotravel.com, or via WhatsApp at +51 984 934 448. To confirm your booking, we need each traveler's full name exactly as it appears on their passport, passport number, nationality, date of birth, the chosen tour, and the travel date.
2. Deposit and Confirmation
- A deposit of 30% of the total price is required to confirm your booking.
- For tours with limited availability, such as the Inca Trail, the train to Machu Picchu, and Machu Picchu entrance tickets, a payment of 50% to 100% may be required at the time of booking, since these services are purchased immediately in the traveler's name.
- Once we receive your payment, we will send you a written confirmation detailing all included services.
3. Balance Payment
The remaining balance must be paid up to 30 days before the tour starts, or at our office in Cusco up to 48 hours before, as agreed.
4. Payment Methods
- We accept bank transfer, bank deposit, credit or debit card, PayPal, and cash at our office.
- Card or PayPal payments may carry an additional bank surcharge.
5. Cancellations by the Traveler
All cancellations must be submitted in writing.
- More than 30 days before the tour: 90% of the amount paid will be refunded.
- Between 15 and 29 days before: 50% will be refunded.
- Less than 15 days before, or in case of a no-show: no refund.
- Machu Picchu entrance tickets, Inca Trail permits, and train tickets are non-refundable once issued.
6. Date or Name Changes
- Date changes are subject to availability and may incur an additional fee.
- Inca Trail permits are personal and non-transferable: neither the traveler's name nor the date can be changed once issued.
- For other tours, changes requested more than 7 days in advance can be made at no extra cost.
7. Cancellations or Changes by the Agency
If a tour cannot take place due to force majeure (weather, strikes, natural disasters, or closures ordered by the authorities), we will offer an alternative date, a similar tour, or a refund for any unused services we are able to recover. Flamenco Travel is not responsible for additional expenses arising from such situations.
8. Documents and Requirements
- Each traveler must carry their valid original passport; it is mandatory for entering Machu Picchu and boarding the train.
- Students requesting a discounted rate must present a valid university student ID.
- We recommend purchasing travel insurance that covers cancellations, accidents, and medical care.
9. Health and Physical Condition
Treks and high-altitude tours require good physical condition. Travelers must inform us at the time of booking of any medical condition, allergy, or dietary restriction. We recommend spending at least 2 days acclimatizing in Cusco before starting a trek.
10. Liability
Flamenco Travel acts as the tour organizer and works with trusted local operators. We are not responsible for the loss of personal belongings, flight delays, or traveler decisions that depart from the itinerary.
11. Acceptance
By paying the deposit, the traveler confirms that they have read and accepted this booking policy.
